This section provides detailed instructions for tasks that are common to many of the procedures for curating person and organization records.

 

Exporting Person and Organization Records

You can export lists of persons and organizations to Excel spreadsheets and/or CSV (comma-separated values) files. Export options are available for both records in the In Boxes and in search results tables.

How to Export Person and Organization Records

  1. On the main menu, click In box or search for organizations or persons. See Searching for Organizations and Searching for Persons .
  2. Scroll to the bottom of the list of records, then next to Export options, click either CSV or Excel.
    The system creates the file you selected. Follow your browser/operating system instructions to view or save the document.

Adding and Viewing Comments

You can record one or more comments about any aspect of an organization or person you are curating, whether or not you make any changes to values in the record.

How to Add Comments

  1. Navigate to the record of interest.
  2. In the Action column for a given record, click Curate.
  3. Scroll to the bottom of the page until you see the Curator Comment(s) section.

  4. Enter your comments and then click Save.
    The system records your comment and adds your username and a date/time stamp for reference.

Entering Address Information in the P/O Curation Application

When adding or editing role information for persons and organizations, you can use an existing entity’s postal address rather than entering the information anew.

How to Enter Address Information

  1. In the Address Information section, click Add Postal Address.
    The Add Postal Address page appears.

  2. Do one of the following to add the postal information:
    • If the entity has the same address as the one you are curating, click Use Organization’s/Person’s Address to populate the address fields automatically.
      - or -
    • From the Country drop-down list, select the country where the person/organization receives its mail, and then complete the rest of the address fields. Provide as much information about the person/organization as possible. Then click Save.
      Fields marked with an asterisk are required. If the person/organization is located in a country that does not use postal codes, type NULL in the Postal Code field.

Navigating Records in Tables in the P/O Curation Application

Entity (organization or person) records, whether displayed in the Inbox or as a result of a search, are listed in tables. You can sort the table by all columns other than Organization Affiliation.
