  1. Download the reference document import template. (Start with a fresh template for each import.) 

  2. (When opening your copy of the template, select Enable Macros? TBD)

  3. Populate your file with information about the reference documents that you want to import. The following table provides instructions for each column in the reference document import template:

    Column NameInstructions
    Do Not UseLeave empty. 
    Batch UserEnter a batch user name in each row. You can provide any text in this column. The system does not validate this column. 
    Batch NameEnter a batch name in each row. The combination of Batch User and Batch Name must be unique.
    Seq IDSpecify a unique sequence ID in each row.
    AI Public IDTBD
    AI VersionThe unique version identifier of the Administered Item.
    AI Long NameTBD
    AI TypeThe name of the type of the Item
    Doc NameTBD
    Doc TextTBD
    Doc TypeTBD
    Doc ContextEach cell in this column has a drop-down list of all valid Contexts. Select a value from that list. 
    Doc LangTBD
    Display OrderTBD
    URLTBD

    As you populate your file, keep in mind the following points:

    • You may add additional columns to your file for taking/keeping notes after the last template column, but the column names must be unique.
    • You can use your Delete key to clear the contents of one or more individual cells, but do not delete entire rows or columns. 

  4. Save the file as CSV. 
  5. Log in as described in Logging In.
  6. From the Manage menu, select Manage Data. The Manage Data page appears. Select Reference Document Import. The Reference Document Import page appears. (For instructions on adding this page to your favorites, refer to Managing Your Favorites.)
  7. From the Import menu, select Data Object Import
  8. Import the file, as described in TBD.
